Guardrail Reference
Use the Notion page Content-/Claim-Guardrails when you check public images, captions, alt text, trust visuals, testimonial visuals, or media usage.
- Stop: Do not upload or publish before/after images, patient images, hidden trust badges, medical score visuals, Top Clinic badges, or images that imply guaranteed results.
- Confirm: Use visuals connected to verified, trusted, certified, reviewed, approved, quality, trust, pricing, or testimonial claims only with documented proof and owner approval.
- Safe: Neutral images are okay when usage rights are known and they support structured information, comparison, direct contact, or clinic-source information without implying medical quality.
Goal
You upload and manage reusable public media in Platform Content Medias.
Before You Start
- You have
Platform Staffaccess in the CMS. - You work in the CMS under
/admin. Platform Content Medias, the create screen,Alt,Caption, relationship fields, and public media display were verified in Preview.- The upload screenshot uses a local demo file and was not saved.
- Use this guide only for staff-managed platform media. Do not use it for clinic self-service media, clinic gallery media, doctor media, or patient-related files.
Step-by-Step Guide
Open
/admin/loginand sign in with your staff account. In the CMS left menu, open
Content & Media.Open
Platform Content Medias. Use search or filters when you need to find an existing file.Click
Create Newwhen you need to upload a new public content image.Select the image file. Use only approved images with known usage rights. Stop: Do not upload before/after images, patient images, private screenshots, hidden trust badges, or files that imply medical results.
Fill
Alt. Describe the visible image in plain language. Do not use file names, keyword stuffing, or internal notes. Confirm:Altis public-facing text. Do not add medical, quality, trust, or ranking claims unless they are approved.Fill
Captiononly when the public content needs a visible caption. Keep captions short and approved. Confirm: Captions can change the meaning of the image. Check captions against the Notion guardrails before saving.Click
Saveonly after you have checked the file,Alt, image rights, and optionalCaption. Stop: Do not save media when rights, consent, hidden private detail, or claim meaning is unclear. To use media in an existing content flow, open the page, post, or global that has a media relationship field. For example,
Landing Pagesuses image relationships for hero, feature, process, team, and testimonial images. When replacing media, check the surrounding content before you save. A new image can change the meaning of nearby copy, claims, pricing, team, or testimonial content. Confirm: If the image supports a testimonial, pricing, trust, verification, or clinic-quality message, confirm the full surrounding section with the responsible owner.
If something went wrong
- If the wrong image is linked, fix the same media record or change the related page back before you save again.
- Do not overwrite a file or delete public media without confirming the impact on every page that uses it.
- If the image is already public and may show private or sensitive detail, keep the last approved image live and ask the content owner before you change more records.
Open the public page after save. Check that the image loads, is cropped correctly, and supports the visible text.
Scroll to the section where the media appears. Check that the image is readable, not distorted, and does not expose private information.
Compliance Notes
Platform Content Mediasare used on public pages and blocks. Do not upload patient data, private clinic data, internal screenshots, staff-only material, or files with hidden sensitive information.- Check image rights before upload. If the right to use an image is unclear, do not upload or publish it.
- Use clear
Alttext for accessibility. Do not leaveAltempty for meaningful images. - Do not use patient, customer, clinic staff, or private contact details in filenames,
Alt, orCaption. - For medical, pricing, outcome, testimonial, team, or clinic-claim visuals, confirm the image and surrounding content with the responsible content owner before publishing.
- If privacy text, consent, analytics use, retention, or media licensing is unclear, ask the privacy/legal owner before publishing.
Success Check
The task is complete when the media has an approved file, Alt, optional Caption, and rights check, and the public page shows the image correctly without private or unapproved content.
